Restaurant Lead Generation Guide — funnels, tools and playbooks.
The working guide to restaurant lead generation in 2026 — the five lead types, the channels that produce them, the qualification framework and the nurture cadence.
This is the operating guide we use with restaurants who want to build a structured lead generation programme — for reservations, private dining, events, catering, franchise enquiries and supplier / partner enquiries.
The five restaurant lead types
- Reservation leads — highest volume, lowest friction, fastest cycle
- Private dining and event leads — high value, medium friction, 7–14 day cycle
- Catering and corporate leads — high value, repeat purchase, 14–28 day cycle
- Franchise enquiries — very high value, slow cycle (41 days average)
- Supplier / partner / investment enquiries — niche but high-margin
Lead capture — channels and conversion rates
| Channel | Avg CPL | Lead-to-cover | Best use |
|---|---|---|---|
| Website form | $2.10 | 38% | Universal |
| WhatsApp button | $0.20 | 62% | Highest converting |
| Instagram DM | $0.40 | 42% | Discovery-led |
| Google Ads (search) | $8.20 | 22% | Demand capture |
| Meta lead gen forms | $2.10 | 24% | New customer |
| AEO citations | $0.30 | 44% | Cheapest emerging |
Qualification — what data to collect
Most restaurants over-collect and under-act. The minimum useful qualification is: name, contact channel, intent (reservation, event, catering, franchise), date / urgency, party size or scope, source. Anything more than 6 fields kills conversion.
Nurture cadence — the playbook
The single biggest factor in lead-to-cover rate is response time. A lead responded to within 5 minutes converts 4× more than one responded to within 24 hours. We build response cadences accordingly — automated acknowledgement, human follow-up within 30 minutes, structured nurture for slower-cycle leads.

Tools and stack
The stack: a CRM (Toast / Square / SevenRooms / HubSpot for the B2B layer), WhatsApp Business API, an email / SMS provider (Klaviyo, Sendgrid, MessageMedia), and an automation layer (Zapier, Make.com) to wire it together.
Measurement
Five KPIs: leads captured, response time, qualification rate, lead-to-cover (or lead-to-event) rate, attributed revenue. Reviewed weekly with a 4-week rolling average.
